Senior living marketing · assisted living, memory care, independent living, in-home care

Fill occupancy with families who found you themselves, not through a referral fee.

Campaigns aimed at the adult child doing the research, tour booking with same-day confirmation, a page and a profile for every community and care level, and the review engine that keeps you above 4.7. Every inquiry tracked from first click to move-in, by community, in a portal your regional director can open on their phone.

Where move-ins leak out

  • ×The form came in at 10:30pm. The sales director saw it at 9 the next morning. The daughter had already booked two tours elsewhere.
  • ×Referral-site dependence. A move-in costs you the first month’s rent, and you don’t own the family until they’re in the building.
  • ×One listing, four communities. Google shows the corporate office, or the wrong community, and memory care has no page at all.
  • ×Reviews from 2021. A 4.1 rating with nothing recent. The daughter tours the 4.8 down the road.
  • ×Occupancy by feel. Nobody can say which community’s inquiries actually became tours, or what a move-in cost.

What the daughter actually does at 11pm.

It’s rarely the senior. It’s the adult child, usually a daughter, after a fall, a hospital discharge or a holiday visit that made it obvious. She’s on her phone late, and she isn’t searching for your brand. She types “assisted living near me,” “memory care [town],” “how much does assisted living cost in Arizona,” or asks an AI assistant what the difference is between assisted living and memory care and which communities nearby are good.

She opens the map pack and reads reviews. She reads the one-star reviews first, because she’s about to hand her mother to strangers. She looks for pricing, and when she can’t find it she assumes the worst. Then she fills in two or three tour requests the same night. The community that texts her back first, with a real time for a tour this week, is the one she visits first. First tour usually wins.

So the senior living work is built around her: campaigns and pages written for the adult child, pricing transparency where you’ll allow it, a review profile that’s recent and real, and tour booking that confirms by text inside 15 minutes. Then the portal tracks inquiry to tour to move-in, per community, so you can finally see what a move-in costs you directly versus what the referral sites charge.

What we build for a senior living operator.

Every piece reports into the portal by community, so the regional director sees the roll-up and each executive director sees their own numbers.

TOURS

Tour booking and inquiry routing

The form captures care level, timeline and who’s asking, then routes to the community’s on-duty sales director with the 15-minute clock running. Tour requests get same-day confirmation by text. After-hours inquiries go to on-call, because 11pm is when the daughter is looking.

  • Care-level-aware routing per community
  • Same-day tour confirmation by SMS
  • Works with Sherpa, Enquire, Yardi, WelcomeHome or alongside them
LOCAL SEO

A profile and a page for every community and care level

One Google Business Profile per community, categorized correctly, posted weekly with photos of real residents and staff (with consent). A page per community and per care level, because “memory care in Mesa” and “assisted living in Mesa” are different families.

  • GBP cleanup, categories, photos, Q&A
  • Community, care-level and respite pages
  • AI search optimization for “assisted living vs memory care” questions
PAID SEARCH

Google Ads written for the adult child

Campaigns per metro and per care level, headlines that answer her questions (cost, safety, availability, tour today), and landing pages with the community’s real photos, real pricing ranges where you’ll allow it, and a tour button above the fold.

  • Budgets follow occupancy by community
  • Cost-range transparency that lifts conversion
  • Conversion tracking without health details
REPUTATION

The review engine

Review requests after move-in, after the 30-day family check-in and at milestones, routed to the right community’s profile. Response drafts the executive director can approve in a minute. Recent, real five-star reviews are what get you the first tour.

  • Family and resident request sequences
  • Per-community rating in the portal
  • Response templates that stay warm and compliant
REFERRALS

Referral-source tracking, including the paid sites

Hospital discharge planners, home health, elder-law attorneys, geriatric care managers and the paid referral sites all feed occupancy. The portal shows cost per move-in for each next to your direct pipeline, so the decision about A Place for Mom becomes arithmetic.

  • Referral-source tagging on every inquiry
  • Discharge-planner and professional landing pages
  • Direct vs. referral-site cost per move-in
SCOREBOARD

Occupancy pipeline, in the portal

Inquiries, tours scheduled, tours completed, deposits and move-ins, by community and by source, with cost per tour and cost per move-in. Health flips to yellow when a community’s speed to lead slips or tours stop converting, so the regional director sees it the same day.

  • Cost per move-in by community and source
  • Speed to lead per sales director
  • Tour conversion rate per community

Four things we ask of every community.

They are written into the agreement. If intake can't meet them yet, we tell you what to fix before we take your money.

1

Answer the phone live, and cover evenings.

The daughter calls at night. If the sales director is off, an on-call rotation or an answering service that can book a tour covers it.

2

Text every web lead back within 15 minutes.

Our routing starts the clock and pings the on-duty director. The portal records first human touch per inquiry and per community.

3

Mark every inquiry’s outcome once a month.

Toured, deposited, moved in, chose elsewhere, not ready yet, or lost. It’s what makes cost per move-in a real number.

4

Let the review engine run.

Move-in and 30-day family review requests go out automatically. Below 4.7 stars, she tours the community down the road.

Privacy and consent, handled before launch.

  • ✓Family data treated as sensitive. Care needs and health details stay in your CRM and the portal. Never in an ad platform.
  • ✓BAA available on request. Many of our clients' compliance teams require it, and we'll sign yours or ours before we touch a form or call log. Either way, no PHI goes to ad platforms.
  • ✓Resident photos with consent. Real residents and staff in your pages and profiles beat stock photos every time. We set up the consent process so you can use them.
  • ✓Call recording consent. Tracking numbers announce recording where state law requires it. Recordings live in your account.
  • ✓Fair housing language. Ads and pages are written to comply with the Fair Housing Act; we don’t target or exclude on protected characteristics.
  • ✓You own every asset. Domains, community pages, ad accounts, tracking numbers and portal data stay yours if we part ways.

Launch is day 25.

Intake, tech handoff, build, launch and QA, then scale. Nothing goes live until routing, tracking and the portal have been checked against real test inquiries. On Growth and Enterprise, if the first 30 days after launch don't produce qualified inquiries in your portal, the next month's retainer is waived.

Questions senior living operators ask us

We get most of our move-ins from A Place for Mom and Caring.com. Why build our own pipeline?

Because a referral-site move-in typically costs you the first month's rent, sometimes more, and you don't own the relationship until the family is in the building. Families who find you directly cost a fraction of that and are already sold on your community, not on a list. We don't tell operators to drop the referral sites on day one. We build the direct pipeline next to them, show both in the portal with cost per move-in side by side, and let the numbers decide how much you keep paying.

Who is actually searching, the senior or the adult child?

For assisted living and memory care it is overwhelmingly the adult child, usually a daughter, usually between 45 and 65, usually at night after a fall, a hospital stay or a hard holiday visit. Campaigns, landing pages and the tour booking flow are written for her: what the community is like, what it costs, whether Mom will be safe, and how fast she can see it. Independent living skews more toward the senior couple themselves, and we adjust for that.

How do you handle tours and move-in tracking?

The inquiry form captures care level, timeline and the relationship to the resident, then routes to the community's on-duty sales director with the 15-minute clock running. Tour requests get same-day confirmation by text. The portal tracks inquiry, tour scheduled, tour completed, deposit and move-in, per community, so you see cost per tour and cost per move-in instead of cost per lead. We integrate with the CRMs the industry uses (Sherpa, Enquire, Yardi Senior CRM, WelcomeHome) or run alongside them.

We have multiple communities with different care levels. How does that work?

One Google Business Profile per community, categorized correctly (assisted living facility, memory care, retirement community matter for which searches you show up in). A page per community and per care level, because 'memory care in Mesa' and 'assisted living in Mesa' are different searches by different families. Budgets follow occupancy: a community at 97% doesn't need the same spend as one at 82%, and the portal makes that visible.

How important are reviews for senior living?

More than for any other vertical we work in. The adult child is handing her mother to strangers. She reads every review, and she reads the one-star reviews first. We run review requests after move-in, after the 30-day family check-in and at milestones, routed to the right community profile, with response drafts the executive director can approve. Below 4.7 stars, families tour somewhere else.

What does senior living marketing cost?

Retainers are scoped by Google Business Profile location: $1,500 a month for one community (SEO, reviews, portal, no ads), $3,500 for two to four communities with Google Search Ads up to $10k a month in managed spend, and $5,000 and up for five to ten. Ad spend is billed to you directly by Google. Month to month. Full details on the pricing page. For reference, that Growth retainer is less than one referral-site placement fee at most communities.

Is HIPAA relevant for senior living marketing?

Less than in clinical settings, but the family is sharing health details about a parent on your inquiry form, and some communities are licensed providers. We treat the intake data as sensitive by default: no health details in ad platforms, a BAA available on request, and call recording consent where state law requires it.

Do you work with in-home care agencies too?

Yes, when the agency has an intake coordinator and the same decision-maker: the adult child researching care for a parent. The search terms differ ('home care for elderly parent', 'in-home caregiver [city]') and the lifetime value is lower per client, so the budget and the math are scoped accordingly. We'll tell you honestly whether the numbers work before you spend.

See if your communities qualify.

Fifteen minutes. We look at your communities, your occupancy, your referral-site spend and your sales coverage, and tell you yes or no. If it’s no, we still tell you what to fix first.
